Job Description

The Office Assistant / Facility Coordinator provides optimal support for the general administrative and secretarial operation of HITEC Power Protection. Additionally you are responsible for coordinating facility related matters. You will be a part of the Office Management team and report to the HR Business Partner EMEA.

Responsibilities:

  • You are responsible for arranging general administrative, secretarial and facilitating support for the entire company.
  • Ensure effective and representative operation of the company reception.
  • You handle telephone calls in a business-like and friendly manner.
  • Make sure customers and visitors (internally and externally) are welcomed and guided through their visit to our facility (e.g. Lunch, Hotel, Travel etc)
  • You have facilitating duties, such as travel arrangements, VISA application, legalization of document, et cetera.
  • You organize office supplies.
  • You are responsible for planning and organizing company events together with the activity team (Christmas, summer barbecue, et cetera).
  • You are a part of the activities group.
  • You are responsible for the planning and administration of the Training department.
  • You provide, either on request or unsolicited, support to the management and staff within the scope of your position.
  • You discuss the progress and quality of work with the team and with the Global HR Manager.
  • When necessary you support the Executive Management Team by preparing documents, setting up meetings/conference calls, etc.
  • Handles a wide variety of activities and confidential matters. Preparing the presentations and documents that the executive team needs for their meetings.

Requirements

  • Qualification in administrative and secretarial work or in hospitality (level 4, MBO+), or equivalent qualification from pre-vocational secondary education.
  • You are fluent in spoken and written Dutch and English.
  • You can work easily with MS Office.
  • You have a service mindset, you like to assist other employees.
