The Sales department has a temporary vacancy for the period of 11 months, starting as per June 2021 for 3 days per week in its Rijswijk offices, for the following position:

Order Desk Officer (Part-time 24 hours a week)

The main activities and responsibilities

  • Own and reply all customer queries pertaining to Order status, In transit deliveries or any schedule updates;
  • Close monitoring of Order status at each milestone with OrderDesk;
  • Act as first point of contact for customers for creation of quotation / PFI based on customer and sales manager request;
  • Order receipt from customers, check all mandatory information, checking if order is part of forecast or not;
  • Organizing and coordinating return orders end to end;
  • Monitoring of LC documents, once arrival, doing the vetting in collaboration with FICO;
  • Filling of MDM Forms, CCF Forms;
  • Responsible for tracking monthly volume against the DA and share with Business directors;
  • Align with Customer on Exworks/FCA shipments in case of any changes;
  • Registration of complaints and handling it end to end;
  • End to End Sample Order Management;
  • Share dispatch details to customer along with any change in schedule of delivery
  • Feedback collection from customer on the delivery;
  • Chase customers for open payments;
  • Ownership of customer master data in SAP, In case of any changes to customer master info, to get it updated;

The Ideal Candidate

  • Secondary vocational education (MBO+), preferably in the field of commerce or logistics); you have experience in Order-to Cash/Sales or other Supply Chain related roles and experience in working in an international environment. Experienced in handling letters of credit is a plus; Or, Higher Vocational Education (HBO), recently graduated open to gain experienced in the Order to Cash/inside sales support role,
  • Familiarity with SAP/R3 as well as familiarity with the pharmaceutical industry and its products would be an advantage;
  • Excellent communication and interpersonal skills including fluent written and spoken Dutch and English. Any other languages (Spanish, French, German) is a plus;
  • Work in close cooperation with Marketing, Technical Support and Sales Managers to satisfy customer needs.
