We are looking for a responsible full-time Administrative amp; Management Assistant to perform various financial administrative and clerical tasks for our senior management team and finance departments. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
The Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports, bookkeeping tasks, processing purchase invoices and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organise their work using tools like MS Excel and office equipment. We want to meet you if you also have previous experience as a Secretary or Executive Administrative Assistant and familiarity with our industry. Ultimately, a successful Admin Assistant should ensure our office's efficient and smooth day-to-day operation.
Responsibilities
- Processing purchase invoices in Trifact365
- Reconciles transactions in Exact online and bank statements and verifies account balances
- Maintains financial records and filing to ensure information is readily retrievable
- Identifies and resolves invoicing issues, accounting discrepancies and other financial related issues
- Answer and direct phone calls
- Organize and schedule appointments for senior team members
- Plan meetings and take detailed minutes at board meetings
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Order office supplies and research new deals and suppliers
- Book travel arrangements for senior team members
- Submit and reconcile expense reports for employees
- Provide general support to visitors
Requirements
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Proficiency in Google GSuite (Offce)
- Excellent knowledge of Trifact365
- Excellent knowledge of Exact online
- Excellent time management skills and the ability to prioritize work
- Working knowledge of office equipment, like printers and fax machines
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
